How do I post a customer invoice?

Note: If you are using Sage Accounts v12.xx this answer assumes you have the Process Map switched off. To do this, open the Tools menu, choose Options then click the View tab. Amend the Global Settings as required then click OK. Once you have completed this process you can return to your original view, if required. To post a customer invoice, you can either post a batch customer invoice or update an invoice from within the Invoicing option.

You cannot print an invoice for your customer using the Batch Customer Invoice option, therefore you should only use this option to record invoices that you have already created or that do not require an invoice to be printed, for example, if you create invoices by hand or with a different program.

To post a batch customer invoice, please follow the steps below:

Open the Customers module. Select the customer, or customers, for which you want to create a batch invoice, then from the customers toolbar, click Invoice.

For each invoice item, or whole invoice, enter the invoice details, one line at a time, for example:
A/C - Enter the account code of the customer you have invoiced. If you do not know the code, use the finder button, or press F4, to create a new code or to display a list of existing customers and then select the one you want.

When you enter a valid code, the name of the account appears in the box at the top of the window and the customer's default nominal code and VAT rate also appear. If you enter a code that is not recognised by Sage Accounts, or part of a code, this invokes the finder, which displays a list of accounts for you to select another account, or you can create a new one by clicking New.

If you use the New function, Sage Accounts prompts you to enter the account's details.

Date - The current program date automatically appears. If required, change this to the invoice date. You can also use the Calendar button to update this box.

Tip: If you have numerous invoices to enter, all with the same date, you can use the Change

Program Date option to set the program date to the date you require.

Ref - If required, you can enter a reference or number to help you to trace the invoice. This is the reference that appears on your reports.Tip: F6 copies the field above, Shift + F6 copies the field above and increments by 1.

Ex. Ref - If required, enter an additional reference here.

N/C - Enter the nominal code to which the net sales value of this invoice is to be posted. The customer's default nominal code automatically appears, but if required, enter an alternative nominal code, or use the finder button to search and select the code you need.If you enter a code that is not recognised by Sage Accounts, the Finder is invoked and you can either select another account or create a new one by clicking New. You can use the Search button on the finder to display only income accounts on this finder list.

Dept - Sage Instant Accounts Plus and Sage Line 50 only - If you want to assign this transaction to a specific department, enter the department code here. The customer's default department code automatically appears, but can be overwritten.

Fund - Only available in Sage Line 50 if you have selected the Enable Charity/Non-profit options check box in the Company Preferences. - If you want to assign this invoice to a specific fund, enter the Fund reference here or use the finder button to search and select the fund you need.

Project Ref and Cost Code - Sage Line 50 Accountant Plus and Financial Controller only - If you want to allocate this invoice to a project, enter the relevant project reference and cost code here.

Details - You can enter any text of up to 60 characters to identify the invoice entry.

Net - Enter the net amount of the invoice up to a value of 99,999,999. Alternatively, you can enter the gross amount including VAT then press the F9 function key, or click Calc.Net. Sage Accounts then splits this value and places the net amount here and the VAT amount in the Tax box. The VAT is calculated using the tax code in the T/C box.

Note: To access the currency calculator from this box, press F5.

T/C - The default tax code for this customer automatically appears. If required, you can enter any of the other tax codes defined in your Tax Codes table.

VAT -This box displays the amount of VAT calculated, by applying the tax code entered to the net amount shown in the Net box. If required, you can change the amount shown.

Tip: If you calculated the batch totals manually before you entered them into Sage Accounts, check your batch totals against those on the Batch Customer Invoices window.

To post your entries, click Save. The details are posted to the Nominal Ledger and the relevant customer's account.

Tip: If you do not want to save this batch, to clear the data and start again, click Discard. The Discard option does not cancel any batch entries you have already saved.

Note: To delete one line of the batch, click into that line and press F8.

To close the Batch Customer Invoices window and return to the Customers window, click Close.
You have now created and updated a batch customer invoice
