Reconciling Your VAT Return

After you have calculated your Sage Line 50 VAT Return and checked that it is correct, you are ready to reconcile your transactions for VAT. Reconciling your transactions for VAT sets a ‘flag’ against each transaction on the VAT Return. This flag indicates that the transaction has been included on a VAT Return and so is excluded by default from subsequent VAT Returns.

In your audit trail, the VAT column shows whether or not a transaction is reconciled. The letter R signifies that a transaction is reconciled; N signifies that the transaction is unreconciled; and a hyphen (dash) means that it is a non-VAT transaction (default tax code T9) or that its VAT code is one you have indicated is not to be included in calculating the VAT Return.

Before reconciling your VAT transactions, you should back up your data files because once you
have reconciled your transactions they cannot be unreconciled.

To reconcile your VAT transactions

  • After running the Calculate option from the VAT Return window on the VAT Return window,click Reconcile. A confirmation window appears.
  • To reconcile your transactions, click Yes.When you select the reconcile option, Sage Line 50 flags the VAT transactions it used tocalculate the latest VAT Return with an ‘R’.
Note: When you select the Reconcile option in the future, the VAT Return will not pick up any flagged transactions, unless the ‘Include Reconciled’ check box is selected on the VAT Return window.

Producing the VAT Return

When you choose the VAT option from the Financials window, the Value Added Tax Return
window appears. This window looks like the VAT Return form you submit to your tax office.

Note for Irish users: If you have set your regional settings to English (Ireland), Line 50 displays the Irish VAT Return. For help with producing your Irish VAT Return, refer to Line 50’s online Help.

Note: Calculating the VAT Return does not affect your Sage Line 50 transactions at all (i.e. no postings are made to your nominal codes) so you can calculate as many times as you like. However, when you choose the Reconcile button, this ‘flags’ the transactions to indicate that they have been used to calculate a VAT Return. This stops them being used to calculate a future VAT Return, unless you specifically indicate that you want them to be included.

To produce your VAT Return


  • From the Sage Line 50 toolbar, click Financials and then click VAT. The Value Added Tax Return window appears.
  • Enter the VAT Period dates in the 'For the period From' and 'To' boxes. These dates are
    inclusive, i.e. any transactions logged on these dates are included in the VAT Return. To include previously reconciled transactions within the specified period, select the 'Include Reconciled' check box.
  • To calculate the totals for your VAT Return, click Calculate. Sage Line 50 searches through the audit trail and calculates all the VAT transactions within the period you specified.
It also searches for any transactions that are dated before the period specified but have not previously been reconciled, for example, late postings. If any unreconciled transactions are found, you are told how many and asked if you want to include them or not. If you want to include these transactions on your VAT Return, click Yes. If you do not want to include them, click No. If you choose not to include them, they remain as unreconciled transactions and the message appears again when you next run your VAT Return. Your VAT totals are automatically entered for you into the appropriate VAT Return total boxes, on the Value Added Tax Return window.

Entering, Editing and Deleting Nominal Records

Even if you have chosen to use one of the default nominal structures, you will probably need to make changes to the records so that it fits your own business requirements.

There are three ways of amending Sage Line 50’s default nominal structure:
  • Delete the existing records that you do not need.
  • Edit some of the existing default account codes.
  • Enter extra account codes that you require.
Deleting Nominal Records

To delete nominal records that you do not need, click Nominal, highlight the records you no longer require and then click Delete.

Note: You cannot delete a nominal record if it has any of the following:
  • Transactions associated with the nominal record.
  • A balance that is anything but zero.
  • If it is a nominal record that is also a control account.
Editing Nominal Records

When you look through the nominal codes that have been created automatically, you may find some that your business will need but you would like to rename them so they are more meaningful to you. To do this, from the main Sage Line 50 toolbar, click Nominal then Record. Select the nominal record you want to change from the drop-down list, remove the old name and type the new name you require in its place.

Entering Nominal Records

Use the Record button in the Nominal Ledger window to change the nominal accounts to suit your needs. If you prefer, you can use the Wizard to guide you step-by-step through the process by clicking the New button. Alternatively, you can copy an existing record’s details using the duplicate facility.

Note: You cannot use the Duplicate facility to create control or bank accounts in the Nominal Ledger. When you duplicate an existing nominal record, Line 50 automatically sets the record
type to Nominal.

Install a workstation on a network without sage CD

In windows explorer navigate to the server drive folder hc\setup\workstation and run setup.exe

Unable to access to any terminal other than server

"Simple file sharing" may be enabled on the server machine. Simple file sharing, when enabled, changes a security option in Windows XP that causes all remote users to authenticate as the Guest account. This makes the Sage Practice Solution server unable to distinguish between different users logging in remotely to the application.

  • Simple file sharing is disabled on the server machine by the Sage Practice Solution installation software, but may have been re-enabled by the user.
  • To disable simple file sharing, open Windows Explorer (not Internet Explorer) and select "Folder Options" from the "View" menu. Scroll to the bottom of the "Advanced Settings" list.
  • Uncheck option marked "Use simple file sharing (Recommended)", and then click OK to save the changes.

Instructions for CSV import

First of all, ensure that the CSV file is in the format...Acct, Acct Title, Bal Dr, Bal Cr.

It is necessary to edit the file csv.TBL which can be found in hc\imports\csv.

NB. EDIT THIS FILE TO MATCH THE ACCOUNT CODES THAT YOU ARE IMPORTING.

Now follow these instructions to complete the import:

  • Select "Tools", "Import" and then "Data Import".
  • On the initial screen click "Next".
  • Select "Manual Selection of Import Definition File", click "Next"
  • Select the client you want to import to, click "Next"
  • Enter a short description for the import eg. 'csv import', click "Next"
  • Select "CSV Definition File Table", click "Next"
  • Browse to the csv file to import.
  • Leave default import period as "1"
  • Browse to import definition file "HC > IMPORTS > CSV > CSV.IMP"
  • Click "Next", "Next" and "Finish" to complete the import.

Installing on a terminal server

You need to install Sage Accounts Production Advanced on the server itself as a Standalone version, to c:\hc.

This needs to be done through add / remove programs in the control panel.

You need to make sure that the properties of the hc folder are set so that the users who will be accessing the terminal server have full control of the folder. When they then access the remote desktop from their workstation they should be able to log into Sage Accounts Production Advanced as normal and work on it as though it were a server/workstation version.
